Objective
The Parts & Procurement Specialist is responsible for monitoring inventory quantities and preparing purchase orders and receiving of aircraft maintenance parts, equipment and supplies in support of the 145 repair station.


Responsibilities and Duties

  1. Prepare purchase orders and send copies to suppliers and to departments originating requests.
  2. Determine if inventory quantities are sufficient for needs and ordering additional materials when necessary.
  3. Respond to customer and supplier inquiries about order status, changes, or cancellations.
  4. Contact suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems. Review orders to verify accuracy.
  5. Prepare, maintain, and review purchasing files, reports and price lists.
  6. Compare prices, specifications, and delivery dates in order to determine the best bid among potential suppliers.
  7. Track the status of requisitions, contracts, and orders. Calculate costs of orders, and charge or forward invoices to appropriate accounts.
  8. Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  9. Work closely with the accounting team to approve and submit invoices for payment.
  10. Locate suppliers, using sources such as catalogs and the internet, and interview them to gather information about products to be ordered.
  11. Maintain knowledge of all organizational and governmental rules affecting purchases, and provide information about these rules to organization staff members and to vendors.
  12. Monitor in-house inventory movement and complete inventory transfer forms for bookkeeping purposes.

Reporting Relationship
This position reports to the Parts Manager


Work Environment
This position works inside a hangar and outside in all types of weather conditions and direct contact with both moving and non-moving aircraft. This position may be exposed to hazardous noise levels, chemicals, fumes, and machinery.


Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job, to include but not limited to:
1. Position requires sitting, standing and walking for extended periods of time.
2. Good physical condition, frequent lifting, carrying weight up to 35 pounds, and occasional pushing/pulling weights up to 100 pounds.
3. Possible exposure to hazardous noise levels, chemicals, fumes, and machinery

This position may include shift work which requires working evenings and weekends, and on scheduled company holidays.

Required Education and Experience
1. Experience in aviation industry shipping, receiving and parts preferred.
2. High School Diploma or equivalent
3. Ability to read, write, speak and understand English
4. Entry level position
